1. Who we are

SDW Shipping B.V. (“SDW Shipping”, “we”) is a freight forwarder specialised in RoRo and container shipping of vehicles and heavy equipment from Europe to South America. We are the controller of the personal data described in this policy.

2. What data we process and why

We do not sell personal data and we do not use it for advertising.

3. WhatsApp notifications

We use the WhatsApp Business Platform, operated by Meta Platforms Ireland Ltd., to send operational messages about your shipments, such as delivery references, terminal details, delivery windows and departure notices. We only send these messages to phone numbers that you or your company have given us for that purpose.

Messages are sent from our business number. You can reply to them directly. If you no longer want to receive WhatsApp notifications, reply “STOP” or tell us by e-mail and we will use e-mail instead.

Meta processes message data to deliver the messages. Meta’s handling of that data is described in the WhatsApp Business terms and privacy policy at whatsapp.com/legal.

4. Who receives your data

We share data only where it is needed to carry out the transport:

  • shipping lines, port terminals and haulage companies involved in your shipment;
  • customs brokers and authorities, where required by law;
  • our IT providers that host our systems and e-mail (Google Workspace, our own servers in the EU) and Meta for WhatsApp messaging;
  • our accountant and bookkeeping software provider.

Some shipping lines and destination agents are located outside the European Economic Area, for example in Chile, Peru and Bolivia. Transfers to them are necessary for the performance of the contract of carriage.

5. How long we keep data

  • Shipment files, invoices and related correspondence: 7 years, as required by Dutch tax law.
  • WhatsApp and e-mail messages that are not part of a shipment file: up to 12 months.
  • Website technical logs: up to 90 days.

6. Your rights

Under the General Data Protection Regulation (GDPR) you have the right to access, correct or delete your personal data, to restrict or object to its processing, and to receive a copy of your data in a portable format. To exercise these rights, e-mail info@sdwshipping.com. We answer within one month.

You can also file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens, autoriteitpersoonsgegevens.nl).

7. Cookies

This website uses only the technical cookies needed to function. We do not use tracking or advertising cookies.

8. Security

Access to our systems is limited to staff who need it for their work, protected with individual accounts and two-step verification. Data is transmitted over encrypted connections.

9. Changes

We may update this policy when our services or the law change. The date at the top shows the latest version.
